Privacy Policy

This policy is tailored to OpenFintel's SaaS product, payments, provider marketplace, financial file uploads, AI-assisted KPI workflows, and accounting data integrations. It forms part of the Terms and Conditions.

1. Scope

This Privacy Policy explains how OpenFintel collects, uses, stores, shares, and protects information when you use our website, dashboard, document vault, file parser, KPI engine, Activity Map, provider marketplace, booking workflows, service deliverables, subscriptions, payment tools, and accounting integrations.

This policy applies to users, business owners, providers, accountants, consultants, bookkeepers, administrators, and visitors. It should be read together with our Terms and Conditions.

2. Information We Collect

Account and identity information: name, email address, business name, role, sign-in provider identifiers, profile status, subscription status, and security records.

Business and financial information: uploaded files, spreadsheet data, accounting categories, parsed transactions, income statement data, general ledger data, expense breakdowns, cash flow data, balance sheet data, KPI outputs, Activity Map nodes, workspace memory, formulas, mapping rules, relationship rules, and scenario settings.

Provider and marketplace information: provider profile details, service tags, qualifications or descriptions you choose to provide, LinkedIn verification status, booking records, client-provider relationships, deliverables, completion proof, messages, and payout or onboarding status.

Payment and billing information: plan selections, invoices, payment status, billing identifiers, taxes, refunds, disputes, marketplace fees, platform fees, and payment processor records. We do not intentionally store full card numbers on OpenFintel servers.

Integration information: if you connect accounting platforms or other third-party services, we may collect authorised organisation details, account identifiers, tokens, refresh tokens, scopes, sync logs, imported records, and metadata needed to operate the connection.

Technical and usage information: device and browser information, IP address, timestamps, pages viewed, feature usage, error logs, audit logs, security events, support requests, and similar operational data.

3. How We Use Information

We use information to create and secure accounts, authenticate users, provide dashboards, parse files, classify categories, calculate KPIs, generate Activity Map suggestions, save workspaces, support driver simulations, manage subscriptions, process bookings, route provider deliverables, operate marketplace visibility, and provide support.

We also use information to prevent fraud and abuse, investigate errors, improve reliability, maintain audit records, comply with legal and tax obligations, process payments, manage disputes, understand product usage, and develop or improve OpenFintel features.

Financial files, accounting data, workspace data, and deliverables are not sold. OpenFintel uses them to provide and improve the service, troubleshoot the product, protect users, and support authorised workflows.

4. Financial Data, AI Outputs, and KPI Processing

OpenFintel may parse, normalise, classify, and transform financial information to generate revenue, COGS, gross profit, gross margin, operating expense, net profit, cash flow, balance sheet, Activity Map, workspace, and scenario outputs.

AI-assisted or rules-based outputs may include suggested classifications, suggested nodes, suggested relationships, alerts, summaries, and calculations. These outputs can be inaccurate or incomplete and should be reviewed by you or a qualified professional before use in tax, legal, lending, investment, payroll, audit, or reporting decisions.

When you delete uploaded financial files, OpenFintel will remove or deactivate the source records used for parsing where the product supports that action. Some derived, billing, audit, backup, security, provider, booking, or legal records may remain where needed for legitimate business or compliance purposes.

5. Accounting and Third-Party Connections

If you connect an accounting platform, you authorise OpenFintel to access and process the information made available under the permissions you approve. This may include organisation data, chart of accounts, transactions, reports, invoices, contacts, files, balances, tax information, and sync metadata, depending on the integration.

You can revoke access through OpenFintel where available or through the third-party platform. Revoking access may stop future syncs but may not automatically delete data already imported into OpenFintel. Third-party platforms operate under their own terms, privacy policies, security models, and API rules.

6. Payments and Subscriptions

Payments may be processed by Stripe or another payment provider. Payment processors may collect card details, bank details, billing address, tax information, payment method identifiers, fraud signals, transaction records, and payout information under their own policies.

OpenFintel receives payment status, subscription status, invoice data, limited billing metadata, refund or dispute information, and related records needed to operate plans, marketplace bookings, provider payouts, receipts, tax records, and account access.

7. When We Share Information

We share information only as needed to operate OpenFintel, comply with law, protect the service, or support workflows you choose. This may include infrastructure providers, database and storage providers, authentication providers, payment processors, analytics or error monitoring tools, email or communication tools, accounting integrations, legal or regulatory parties, and professional advisers.

When you book a provider or act as a provider, relevant booking information, profile information, uploaded deliverables, and service records may be visible to the other party and to authorised OpenFintel administrators for support, compliance, dispute, and quality control purposes.

We may disclose information if required by law, court order, regulator request, tax obligation, payment dispute process, fraud investigation, security incident response, or to protect OpenFintel, users, providers, or the public.

8. Cookies, Local Storage, and Similar Technologies

OpenFintel may use cookies, browser storage, tokens, or similar technologies to keep you signed in, remember preferences, protect sessions, enable security controls, measure usage, debug errors, and operate the product. You can control cookies through your browser, but some features may stop working if required storage is blocked.

9. Security

We use reasonable technical and organisational measures designed to protect information, such as access controls, authentication, encryption in transit where supported, role-based permissions, logging, backups, and administrative safeguards.

No system is perfectly secure. You should use secure sign-in methods, protect your email and identity provider accounts, choose providers carefully, limit access to authorised people, and tell us promptly if you suspect unauthorised access or data misuse.

10. Retention and Deletion

We keep information for as long as needed to provide OpenFintel, maintain account records, operate subscriptions, process bookings and payouts, support disputes, meet legal or tax obligations, prevent fraud, maintain security logs, troubleshoot issues, improve the product, and protect legitimate business interests.

Retention periods may differ for uploaded files, parsed data, derived KPI records, workspace memory, provider deliverables, payment records, audit logs, backups, and support records. Backups and logs may take longer to expire than live application data.

11. International Processing

OpenFintel and its service providers may process and store information in countries other than where you live or operate your business. Those countries may have different data protection laws. Where required, we use appropriate safeguards for cross-border processing.

12. Your Rights and Choices

Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also be able to withdraw consent or disconnect third-party integrations.

We may need to verify your identity and account authority before responding. Some requests may be limited by legal, accounting, tax, security, fraud prevention, backup, dispute, or contractual requirements.

13. Children

OpenFintel is intended for business use and is not directed to children. You must not create an account or submit personal information if you are not legally able to use the service.

14. Changes and Contact

We may update this Privacy Policy to reflect changes to OpenFintel, integrations, payment flows, legal requirements, security practices, or business operations. The updated version will apply from the date shown on this page or from any later date stated in the notice.
